Why this is the part that needs notice
A surprise only works once. Everything else about a birthday booking can flex — people arrive late, orders change, someone brings an extra friend — but the decoration either exists at the moment they walk in or the moment is gone.
That is why it is the one thing we ask you to commit to early. A balloon arch is not something anyone can assemble in the ten minutes between your call and your group arriving; it takes materials on hand and somebody to build it while the room is empty. Ask on the day and the honest answer is usually no.
Ask with proper notice and it is straightforward, and it is the single thing most likely to make the evening feel arranged rather than improvised.
How a surprise usually runs

You call and fix a time
Ring 97892 90974 with the date, the headcount and — importantly — the time the person it is for will actually arrive, not the time the group is told to arrive.

The group arrives first
Get everyone else in and seated before the guest of honour. Tell us who is bringing them and roughly how far behind they are.

We hold the food
Nothing goes to the table until the moment has happened. Order when everyone is in, and the kitchen cooks it fresh from there.

Cake when you want it
Bring your own. Tell us when you would like it brought out and we will keep it out of sight until then.
Things worth deciding before you call
The real arrival time
The single most useful thing you can tell us. Setup is timed backwards from it.
Whether it is a full surprise
If the person knows about dinner but not the decoration, we handle it differently to a complete ambush.
Name or age on the sign
If you want something specific rather than a plain birthday sign, say so early — it may not be possible at short notice.
Who is paying
Not romantic, but it saves a scramble at the counter. Decide whether it is one bill or split before the evening ends.

How much notice do you need for a birthday decoration?
As much as you can give, and never assume same-day. Call 97892 90974 as soon as the date is fixed and we will tell you exactly what is possible for that day — it depends on how booked the room already is and what materials are on hand.
What does the decoration actually include?
A balloon arch and a lit birthday sign, set up in the hall before your group arrives. If you want something beyond that — a specific colour scheme, a name board, a particular age — ask when you call rather than on the day, because it may need arranging.
Can we bring our own decorations instead?
Yes, and plenty of groups do. Tell us when you book so we can give you access to the room early enough to put it up, rather than you arriving to find the table still being laid.
Will you keep the surprise if the person calls to check the booking?
Tell us it is a surprise when you book and we will not confirm details to anyone but you. It happens more often than you would think.
